A hundred-person workshop, planned to the minute
The organizer · What’s advancing · F0
A run sheet, a materials list, an offline-proof exercise and the five things that will go wrong.
Why this matters for your role
A faculty discussion: which parts of learning should AI support, and which must students demonstrate independently?
Your worked example
Synthetic faculty meeting notes: Asha will draft the teaching timetable by Friday. Ravi will check room availability. The next meeting date and the room-check deadline were not agreed.
Put it into practice
Create an action table with owner, task and deadline. Mark missing details “not stated”. Draft a follow-up email for human review; do not send it or invent dates.

A hundred-person workshop, planned to the minute
A run sheet, a materials list, an offline-proof exercise and the five things that will go wrong.
Plan a one-day workshop I have to run. This is a practice exercise. Topic: [YOUR TOPIC] Participants: [HOW MANY, AND WHO THEY ARE] Venue constraints: [ROOM SHAPE, WIFI, PROJECTOR, POWER — be honest] Produce: 1. A minute-by-minute run sheet from arrival to close, marking who is doing what at each point. 2. The materials list: what must be printed, what must be tested the night before, what must be charged. 3. The hands-on exercise, designed so it still works if a third of the room has no working internet. 4. A registration-to-feedback checklist covering the two weeks before and the week after. 5. The five failure points — what actually goes wrong at this size — with the contingency for each. 6. The feedback form, kept to six questions that will produce answers you can act on. End with a short section titled "Your check" listing what I must verify myself before using any of this.
Synthetic practice example. Run it as-is and check the output against the supplied facts.
Your check
Walk the venue against the run sheet yourself. Timings assume a room that behaves, and rooms do not.
Educational planning material. Confirm your own institution’s rules on events, registration and data collection.
